UPDATE 04/05/2020 – Agilitas follows all the necessary government guidelines required to meet social distancing and maintain the safety of our employees and clients. We have successfully reorganised the working environment of our business for the safety of our employees and any visiting suppliers and customers. As a result, we continue to offer a full service to our customers. Agilitas remain in close contact with suppliers of parts, engineering and courier services in order to be able to react to any event which may have a severe impact on service so we are able to put in place alternative solutions in order to continue serving our customers.

 

UPDATE 25/03/2020 Update to our response to the COVID-19 pandemic: As the situation develops and global governments continue to deal with the many aspects of the COVID-19 pandemic, we would like to update you with our response and plans. We continue to prioritise the health and well-being of our people and our customers. As a result of the recent measures by the UK government we have successfully implemented business continuity plans and enabled all of our staff to work from home. Some roles (a small number) are still required to deliver services that need to be located in our Nottingham Hub and we have put robust measures in place to protect those staff. In recent days with the lockdown announced in the UK, it has become important for providers to be recognised as key businesses in the provision of support to those critical services still operating. The UK government has stipulated that key workers are the staff needed for essential services such as ‘information technology and data infrastructure’ and those providing or supporting ‘network operations, field engineering, call centre staff, IT and data infrastructure’. We would like to reassure our customers that we are focused on enabling access to all of our services so that we continue to help you support the critical national infrastructure and services. We support many hospitals, emergency services, banks, retailers and security services and will continue to prioritise these customer sectors in order to support the efforts to deal with this extraordinary situation. Finally, the Agilitas team are committed to standing shoulder-to-shoulder with all our customers and service partners through these challenging times.  We will continue to broadcast regular communications across the UK and the rest of the world informing you of what we are doing, that is in our control, to ensure a continued high-quality service. If you have any questions please speak to your Agilitas representative or contact us oninfo@agilitas.co.uk or +44 (0) 115 919 6000   UPDATE 24/03/2020 AGILITAS – Continue to deliver Services for our customers Based on the new measures laid down by the Prime Minister and government last night Agilitas are doing everything in their control to adhere to this guidance.  These are unprecedented times and whilst these measures may appear extreme, they are absolutely vital to reduce the strain on the NHS so we can get back to normal as quickly as possible. In response to these latest measures, the majority of Agilitas’ workforce are now working from home with the exception of the Operations teams where this isn’t possible.  We are confident that the measures that we have deployed throughout the workplace will reduce any risk to the lowest level to ensure we can continue to support our customers 24/7/365.  These include measures around maintaining high-hygiene standards and social distancing at all times. We will continue to keep our customers and partners updated on developments and as things change/progress. None of us have ever been in a situation like this before and hopefully we’ll get back to normal life in the near future. For the time being, thank you to all our fantastic customers and partners who continue to work with us.  We WILL get through this and we are all in it together!   UPDATE 12/03/2020 We understand your business depends on our ability to provide reliable, uninterrupted service, so in light of the recent developments around Coronavirus (COVID-19), we would like to share with you the global and local measures we are taking to ensure service continuity. In the UK, we have made investments in our technology infrastructure and business continuity planning to ensure we can operate all our systems and processes remotely with no interruption to normal service levels. This will ensure we’re able to provide you with seamless service should any of our colleagues need to work remotely (e.g., due to self-isolation, school closures, etc.) or should we decide to close any offices and/or switch to a remote working model.  We have put various procedures and continuity plans in place so that we can provide ‘business as usual’ should our entire workforce need to work remotely. In the event of this happening, we would operate as follows:

  • Full remote access to our switchboard.
  • Mobile phones will be used by line managers & account managers allowing continuous phone access to our teams, and ensuring all skill groups would continue to work seamlessly.
  • All tools for managing enquiries, quotes, order processing, etc. would be remotely accessed by our teams via laptops.
  • Skype would be used internally to work with our customers and vendors for productive collaboration and content sharing.
  • Access to the Nottingham facility will be limited to selected members of staff, if parts are required to be shipped from the Nottingham warehouse in an urgent situation.

Our business continuity plan also covers our Nottingham logistics facility to ensure the protection of our workforce and continuity of inbound and outbound deliveries. Specific measures in this facility include the following:

  • Separation of facilities (e.g., visitor entrance, staff Entrance, canteen, toilets) for workers.
  • Use of gloves, anti-bacterial and alcohol wipes.
  • Isolation of inbound/collection drivers, who must remain outside the building.
  • Ongoing daily communications with third parties, such as forward stocking location, couriers and suppliers.

  1. What are we doing to protecting people, vendors, customers at our facility?

Agilitas has a detailed business continuity plan in place focused on ensuring the health and safety of our colleagues and everyone present in our facility. In support of this, our business continuity team is composed of representative team members and leaders from across the business. We are taking proactive steps to contact all our staff to ensure that everyone has access to the latest advice. We are monitoring the situation closely, have made plans to act quickly as the situation changes and will provide further updates as necessary. We can confirm that several precautionary steps have already been taken to protect our people and the service we provide. These measures include:

  • Issuing a clear travel policy to all our people that follows the latest guidelines given by HM Government. This includes avoiding unnecessary international & national travel and encouraging the use of Skype/ remote meetings rather than face to face where possible
  • Anyone travelling to or from high risk areas must advise the Business and must self-isolate for 14 days as a precaution and will be expected to work from home during that time
  • Anyone showing any possible symptoms are also being asked to contact 111 (or the relevant local country equivalent) and self-isolate for 14 days.
  • Issuing guidance on the importance of following basic hygiene protocols in line with World Health Organisation and PHE guidance. This particularly focuses on hand washing

 

  1. How will we manage staff at our facility to ensure continued operation?

We have various options for ensuring continuity, including remote working or shifting work to other locations where remote work is not possible. This is among the considerations made by the Agilitas business continuity team with a focus on ensuring the health and safety of our colleagues while mitigating business impacts for our partners. When actions are taken, they will be communicated to all relevant stakeholders.

  1. What are our business recovery plans?

Our business continuity plan includes measures to ensure not only that we’re able to recover normal business operations as quickly as possible, but also that we are able to mitigate impacts to our stakeholders during any incidents.

  1. How are we ensuring we are equipped with the necessary inventory to fulfil customer orders?

We are working closely with our vendors to understand where supply chain issues may arise and how best to mitigate these risks. We encourage customers to work closely with their Agilitas sales representative and account managers to provide information about anticipated product needs. While this is a fluid situation, we are making efforts to mitigate service disruptions to our channel partners. Specific action includes working with our vendors to ensure we have adequate supply to accommodate potential disruptions, as well as monitoring courier and FSL statuses globally.

  1. What is our policy for visitors to its facility?

Please be advised that for the health and safety of our colleagues, we will be asking visitors to disclose recent travel history before visiting our facility and asked to complete a visitor screening form before attending site.     Affected Services Country – Italy Towns affected – All Status – Shipments to Italy are severely restricted at this time. This is being monitored daily and we will update you when services change. Currently we are confident there will be no disruption to business as usual for all other services. Should this change then all customers will be notified. We will continue to monitor the situation carefully and ensure we do our best to keep services running to the best of our ability.   UPDATE: 06/03/2020 Agilitas IT Solutions has been closely monitoring the Coronavirus (Covid-19) situation and is acting on advice from sources including the Foreign and Commonwealth Office, World Health Organisation, the NHS and Public Health England. We are taking proactive steps to contact all our staff to ensure that everyone has access to the latest advice. We are monitoring the situation closely, have made plans to act quickly if the situation changes and will provide further updates as necessary. We can confirm that several precautionary steps have already been taken to protect our people and the service we provide. These measures include:
